2. Notes for Participation and Research Presentation in the Meeting

For JFS members:
To participate the Meeting is available.
Preliminary registration is available.
Research presentations are available.

For non-JFS members:
To participate the Meeting is available.
Registration at the on-site registration desk in the Meeting venue is available.
Research presentations are not available basically. However, non-JFS members may make research presentation in the “Symposia” based on the request from the coordinator. (Registration for participation/presentation and payment of registration fees are required.)

For student who does not make presentation and is undergraduate:
Registration fee is free. Registration at the on-site registration desk in the Meeting venue is available. Registration for participation/presentation and payment of registration fees are required for student who makes presentation or is not undergraduate (for example, graduate student).

3. Registration for the 128th Annual JFS Meeting

Registration for the 128th Annual JFS Meeting and/or the banquet can be done at the JFS website. The website opens at the end of October. Applications through Fax or E-mail are not accepted.

The membership number is required when applying for the Meeting. You will find the membership number on the front side of the envelope in which Journal of the Japanese Forest Society is included.

Applicants are requested to pay registration and/or banquet fees by credit card through the JFS website. Applicants may also pay via postal transfer. Please click the check box of “the payment via postal transfer” on the web page and make a payment before the registration deadline.

In case you wish to pay via postal transfer, please transfer to the following postal account using a payment slip prepared by the post office filling out the necessary information; name, acceptance number staring from RG, contact address, telephone number, affiliation, and breakdown of the amount of remittance). Use one payment slip per person. The receipt will be given on the day of the Meeting. Please be reminded that the registration and/or banquet fees are non-refundable. Once closing date for the payment has passed, the online payment and the payment via postal transfer are not accepted. Please make a payment on the day of the Meeting.

For Applicants who wish to make a research presentation:
Deadline of the registration is November 17, 2016.
Two registrations are necessary, i.e. as the registration for the 128th Annual JFS Meeting and the registration for a research presentation (see following section 4).

For Applicants to participate the Meeting without research presentations:
Deadline of the preliminary registration is January 12, 2017.
On-site registration is available, however, the on-site registration desk might be crowded and take time for the procedure. Besides, when the number of on-site registration exceeds more than we expected, the program and the abstracts might become insufficient. Therefore, we encourage preliminary registration.

4. Registration for a Research Presentation

The online registration website open in the end of October. Only online registrations are accepted. The registration and the payment of the registration fees should be completed between October 27, 12:00 and November 17, 17:00, 2016.

Guide for the registration:

  1. A presenter should be a first author. The first authors are limited to make one presentation except for the award acceptance speech.
  2. Research presentations should be on forest science and the results and conclusions must be obtained by January 12, 2017 (closing date of abstract submission).
  3. Authors, affiliation, and title cannot be changed at the presentation. Accordingly, we encourage presenters, especially students, to apply after fully consulted with co-authors.
  4. Research presentation will be held in Categorized Oral Sessions, Categorized Poster Sessions, Organized Sessions, and Symposia.
    ・For the Categorized Sessions, 13 research categories are prepared.
    The Organized Sessions are aimed to promote discussions and exchanges of views on cross-sectoral theme that has not covered by existing research categories. Oral presentation is usual but some sessions have poster presentations.
    The Symposia has clear and precise integrated theme on forest science. The selection of the speakers is made by the coordinators. The speakers of the Symposia also complete the registration for the research presentation.
    ・Applicants may make a research presentation in the Categorized Oral Sessions, the Categorized Poster Sessions, or the Organized Sessions. However, applicants may be asked to change their presentation due to limitations of space, time, or the number of submissions.

5. JFS Student Poster Award

The JFS Student Poster Award is presented to the JFS student members who made an excellent poster presentation in the Annual Meeting of the Japan Forestry Society. The poster presentation whose first author is one of the JFS student members and applied for the JFS Student Poster Award at the time of application is qualified to be selected for the Award. We hope that the JFS student members will actively apply for this Award. We also ask supervisors to encourage the JFS student members to apply for this Award.

6. Submission of Abstract Manuscripts

Applicants who have applied for research presentation are requested to submit their abstract manuscripts online via the JFS website by January 12, 2017, 17:00. Online abstract submission becomes available after the JFS secretariat confirms the payment of the application fees. The process of bank transfer of Japan Post Bank takes about 7–10 days. Individuals who are planning to apply for the membership cannot submit abstract manuscripts before the application process completes.

The abstract should be written either in Japanese or English. The length of the abstract should be within the total number of bytes corresponding to 500 two-byte characters including control characters (around 130 words in English). Figures cannot be used. Please see the entry screen on how to input Greek letters, italics, subscripts and superscripts (Note that any text decorations copied and pasted from the Word document are not reflected). Change of the author, affiliation, and title of the abstract is not allowed after November 17, 2016, 17:00.

The abstracts will be compiled into a booklet to hand out to the Meeting attendees and will be posted on the JFS website about one month before the Meeting. The abstracts will also be published in the Meeting presentation database (Japan Science and Technology Information Aggregator, Electronic: J-STAGE).

7. Presenter Guidelines

Oral Presentations:
Only LCD projector will be used. PCs (Microsoft PowerPoint 2013 installed) will be arranged. Therefore, when you create your Power Point presentation, use the Power Point 2013 or earlier versions. (Speakers are advised to test their slides in advance.) OHP is not available.

Poster Presentations:
The poster size should be A0 size (1,188mm high × 841mm wide). Poster title and author’s name should be written on the poster.

8. Nursery Room

Nursery will be provided during the Meeting as below.

Participants who wish to apply for the nursery are requested to contact the Secretariat (jfs128@ml.agri.kagoshima-u.ac.jp ) via e-mail by January 31, 2017 with the following information. Details will be notified to the applicants through e-mail at a later date.
