2. Notes for Participation and Research Presentation in the Meeting

For JFS members:
To participate the Meeting is available.
Preliminary registration is available.
Research presentations are available.

For non-JFS members:
To participate the Meeting is available.
Registration at the on-site registration desk in the Meeting venue is available.
Research presentations are not available basically. However, non-JFS members may make research presentation in the "Symposia" based on the request from the coordinator. (Registration for participation/presentation and payment of registration fees are required.)

For non-JFS members who are going to apply for the membership to make research presentations:
Before online registration for the Meeting, complete their admission procedure by November 19, 2015. The information for the admission procedure is shown in website (https://www.forestry.jp/english/) at "How to become a Member".

3. Registration for the 127th Annual JFS Meeting

Registration for the 127th Annual JFS Meeting and/or the banquet can be done at the JFS website. The website opens at the end of October. Applications through Fax or E-mail are not accepted.

The membership number is required when applying for the Meeting. You will find the membership number on the front side of the envelope in which Journal of the Japanese Forest Society is included.

Applicants are requested to pay registration and/or banquet fees by credit card through the JFS website. Applicants may also pay via postal transfer. Please click the check box of "the payment via postal transfer" on the web page and make a payment before the registration deadline.

In case you wish to pay via postal transfer, please transfer to the following postal account using a payment slip prepared by the post office filling out the necessary information; name, acceptance number staring from RG, contact address, telephone number, affiliation, and breakdown of the amount of remittance). Use one payment slip per person. The receipt will be given on the day of the Meeting. Please be reminded that the registration and/or banquet fees are non-refundable. Once closing date for the payment has passed, the online payment and the payment via postal transfer are not accepted. Please make a payment on the day of the Meeting.

For Applicants who wish to make a research presentation:
Deadline of the registration is November 19, 2015.
Two registrations are necessary, i.e. as the registration for the 127th Annual JFS Meeting and the registration for a research presentation (see following section 4).

For Applicants to participate the Meeting without research presentations:
Deadline of the preliminary registration is January 14, 2016.
On-site registration is available, however, the on-site registration desk might be crowded and take time for the procedure. Besides, when the number of on-site registration exceeds more than we expected, the program and the abstracts might become insufficient. Therefore, we encourage preliminary registration.

4. Registration for a Research Presentation

The online registration website open in the end of October. Only online registrations are accepted. The registration and the payment of the registration fees should be completed between October 27, 14:00 and November 19, 17:00, 2015.

Guide for the registration:

  1. A presenter should be a first author. The first authors are limited to make one presentation except for the award acceptance speech.
  2. Research presentations should be on forest science and the results and conclusions must be obtained by January 14, 2016 (closing date of abstract submission).
  3. Authors, affiliation, and title cannot be changed at the presentation. Accordingly, we encourage presenters, especially students, to apply after fully consulted with co-authors.
  4. Research presentation will be held in Categorized Oral Sessions, Categorized Poster Sessions, Organized Sessions, and Symposia.

    • The Organized Sessions are aimed to promote discussions and exchanges of views on cross-sectoral theme that has not covered by existing research categories. Oral presentation is usual but some sessions have poster presentations. The details of the Organized Session are posted at the beginning of September, 2015.

    • The Symposia has clear and precise integrated theme on forest science. The selection of the speakers is made by the coordinators. The speakers of the Symposia also complete the registration for the research presentation. The details of the Symposia are posted at the beginning of September, 2015.

    • Applicants may make a research presentation in the Categorized Oral Sessions, the Categorized Poster Sessions, or the Organized Sessions. However, applicants may be asked to change their presentation due to limitations of space, time, or the number of submissions.

5. JFS Student Poster Award

The JFS Student Poster Award is presented to the JFS student members who made an excellent poster presentation in the Annual Meeting of the Japan Forestry Society. The poster presentation whose first author is one of the JFS student members and applied for the JFS Student Poster Award at the time of application is qualified to be selected for the Award. We hope that the JFS student members will actively apply for this Award. We also ask supervisors to encourage the JFS student members to apply for this Award.

6. Submission of Abstract Manuscripts

Applicants who have applied for research presentation are requested to submit their abstract manuscripts online via the JFS website by January 14, 2016, 17:00. Online abstract submission becomes available after the JFS secretariat confirms the payment of the application fees. The process of bank transfer of Japan Post Bank takes about 7-10 days. Individuals who are planning to apply for the membership cannot submit abstract manuscripts before the application process completes.

The abstract should be written either in Japanese or English. The length of the abstract should be within the total number of bytes corresponding to 500 two-byte characters including control characters (around 130 words in English). Figures cannot be used. Please see the entry screen on how to input Greek letters, italics, subscripts and superscripts (Note that any text decorations copied and pasted from the Word document are not reflected). Change of the author, affiliation, and title of the abstract is not allowed after November 19, 2015, 17:00.

The abstracts will be compiled into a booklet to hand out to the Meeting attendees and will be posted on the JFS website about one month before the Meeting. The abstracts will also be published in the Meeting presentation database (Japan Science and Technology Information Aggregator, Electronic: J-STAGE).

7. Presenter Guidelines

Oral Presentations:
Only LCD projector will be used. The PCs install Microsoft PowerPoint 2013. Therefore, when you create your Power Point presentation, use the Power Point 2013 or earlier versions. (Speakers are advised to test their slides in advance.) OHP is not available.

Poster Presentations:
The poster size should be AO size (1,188mm high × 841mm wide). Poster title and author's name should be written on the poster.

8. Nursery Room

Free nursery will be provided during the Meeting. Participants who wish to apply for the nursery are requested to contact the Secretariat ( ) via e-mail by February 20, 2016 with the following information. Details will be notified to the applicants through e-mail at a later date.

Call for Organized Oral/Poster Session Proposals and Symposium Proposals

The call was closed on August 28, 2015.

Call for Organized Session Proposals

  • The objective of the Organized Session is to promote discussions and exchanges of views on the proposed cross-sectoral theme that has not covered by existing research categories. Choose the theme that is sustainable and does not complete in this session. Proposed theme might be adopted as one of the research category in the future. Presentations of the Organized Session are carried out as the same style as the Categorized Sessions.
Application and Adoption of the Organized Session
  • Coordinators of the Organized Session are requested to apply with specific title and objective.
  • The adoption of the Organized Session will be determined by the Program Planning Committee.
  • There are three types of rooms with seating capacity for 90, 200, and 250 respectively.
Presentations for Organized Session
  • Only the JFS members can apply for the presentation.
  • Both poster and oral presentations may be carried out.
  • The oral presentation is limited to 15 minutes per speaker, including Q&A. Speakers are requested to strictly observe their allocated time limit.
  • Comprehensive Discussion may take place every 3-6 presentations. Explanation of the session may be applied if necessary (15 minutes).
  • The Organized Session is open-ended, however, the number of presentations and time might be asked to reduce or shorten due to the availability of the venue.
Roles of Coordinators of Organized Session include
  • To select presentations applied for the Organized Session. The determination of eligible presentations is made based on the title, keyword, and author, as the program is compiled prior to the abstract submission.
  • To decide the presentation style (oral or poster), when both oral and poster presentations take place. To notify applicants when their presentation style (oral or poster) needs to be changed.
  • To compile a program (presentation order, allocation of time for comprehensive discussion, and selection of chairpersons, etc.) from the beginning of November to the beginning of December. (The coordinators are asked to avoid business trips and make sure that they can be contacted anytime via e-mail during this period.)
  • In case the number of coordinators is more than one, the first author should represent the coordinators. Only the representing coordinator will receive notification. The coordinator should be an individual who works in liaison with the Program Organization Committee.
Instructions for Coordinators of Organized Session
  • The Organized Session is scheduled on the same time as the Categorized Oral Session. Therefore, the coordinators of the Organized Session cannot take part in other Organized Session or Categorized Oral Session.
  • Coordinators of the Organized Session cannot be coordinator in other Organized Session or Symposia.
  • Coordinators of the Organized Session cannot be chairperson in other Organized Session or Categorized Oral Presentation.
  • Coordinators of the Organized Session may make a presentation in the Organized Session planned by themselves.

Symposia

  • The Symposia is planned by the coordinators of the JFS members with clear and precise integrated theme related to forest science.
Application and Selection of Symposia
  • Coordinators of the Symposia are requested to apply with specific title and objective, and expected number of speakers. Speakers do not have to be determined at the time of application. Please finalize by the application closing date scheduled in late November.
  • The Symposia should be completed in three hours.
  • The adoption of the Symposia will be determined by the Program Planning Committee.
  • There are three types of rooms with seating capacity for 90, 200, and 250 respectively.
Presentation of Symposia
  • Speakers will be selected by the coordinators in advance.
  • A limited number of speakers from non-JFS members might be selected depending on the contents. In this case, the coordinators have to explain this reason. Note that the payment of registration fees is required for the non-JFS member speakers. We ask the coordinators to encourage the non-JFS member speakers to become JFS member to contribute to the development of the Japanese Forestry Society.
  • The Symposia will be held only in oral.
  • Coordinators of the Symposia may decide the number of speakers, presentation time per speaker, whether to hold a discussion session etc.
Instructions for Coordinators of Symposia
  • Coordinators of the Symposia cannot become coordinator or speaker in other Symposia.
  • Coordinators of the Symposia may make a presentation in the Symposia planned by themselves.
  • Coordinators of the Symposia cannot become coordinator in the Organized Session.
  • In case the number of coordinators is more than one, the first author should represent the coordinators. Only the representing coordinator will receive notification. Please choose individual as coordinator who work in liaison with the Program Organization Committee.

Application guidance

Please apply according to the following procedure not later than August 27, 2015. After screened by the Program Planning Committee, the results will be notified to the coordinator by September 25, 2015 (In case the number of coordinators is more than one, only the representing will be notified).

Upon receiving your e-mail, a confirmation e-mail will be sent to your e-mail address. In case, you don't receive the confirmation e-mail, please send e-mail, again.
